Introduction

NXRENT is a salon rental management platform operated at nxrent.com. We are based in Michigan, United States. Personal information is primarily processed and stored in the United States.

This Privacy Policy explains what information we collect when you use our platform, how we use it, and the choices you have regarding your data. By creating an account or using our services, you agree to the practices described in this policy. If you do not agree, please discontinue use of NXRENT.

Information We Collect

We collect the following categories of information to provide and improve our service:

  • Account information — your name, email address, and hashed password when you register.
  • Business information — your salon name and location(s) provided during onboarding.
  • Billing information — your active plan and the last 4 digits of your payment method for display purposes. We do not store full card numbers. All payment processing is handled by Stripe or Square.
  • Usage data — pages visited, features used, and general platform interaction data used to improve NXRENT.
  • Security and verification — when enabled, we send time-limited codes to your email to confirm salon owner accounts. We also send transactional messages you expect from the product (for example welcome, invoice, payment, maintenance, and support notifications) using SMTP settings configured for the platform.
  • Tenant data — tenant names, email addresses, lease information, and related records entered by salon owners into the platform. This data is owned by the salon operator and processed by NXRENT on their behalf.
  • Referral program data — when you participate in our referral program, we collect invite codes, the email address of people you invite (if you send an invite through NXRENT), referral status (pending, activated, etc.), and the relationship between referrer and referred owner accounts. We use this to attribute discounts and subscription credits described in our referral program page and in our Terms of Service.

How We Use Information

We use the information we collect for the following purposes:

  • To provide, operate, and improve the NXRENT platform.
  • To process billing and generate invoices for your subscription.
  • To send transactional emails such as payment reminders and lease renewal notifications on behalf of salon operators.
  • To provide customer support when you contact us.
  • To analyze aggregated usage patterns and improve product features and performance.
  • To operate the referral program — including validating codes, applying welcome discounts to new owners, crediting referrers, enforcing annual limits, and preventing fraud or abuse.
  • To enforce workspace standing (for example active, billing hold, or suspended states), protect the service, and comply with law — including restricting certain features when an account or workspace is not in good standing.

Data Sharing

We do not sell your data. We share information only in the following limited circumstances:

  • Payment processors — Stripe and/or Square receive the billing data necessary to process your subscription payments.
  • Infrastructure providers — hosting and database providers (such as Vercel and associated cloud database services) that store and serve your data as part of operating the platform.
  • Legal requirements — when required by applicable law, court order, or government authority.

Data Retention

We retain your account and workspace data for as long as your subscription is active and your workspace is in use. If you cancel billing but keep an account, we retain data according to your plan and settings until you delete the workspace or request removal.

When the primary owner requests to close a salon workspace, we may create an internal backup snapshot to support recovery and integrity, deactivate owner and team access, and schedule permanent deletion of salon data after a period shown in the product (currently 30 days from the closure request). The same email and password may be used to reactivate within a shorter window (currently 7 days) where the product allows.

To request export or deletion outside these flows, contact us at support@nxrent.com. Operational backup snapshots retained for administrators are purged on a rolling schedule and are not marketed as a substitute for your own exports.

Security

We take reasonable measures to protect your data. Passwords are hashed with a bcrypt-compatible algorithm and are never stored in plain text. Sessions use signed tokens in HTTP-only cookies. Data in transit is encrypted via HTTPS. Card payments are processed by Stripe or Square; full card numbers are not stored on NXRENT servers. While we take security seriously, no system is completely immune to risk and we cannot guarantee absolute security.

Tenant Data Responsibilities

Salon owners who use NXRENT to manage their tenants are responsible for ensuring their collection and use of tenant data is lawful under applicable privacy regulations. NXRENT acts as a data processor with respect to tenant data entered by salon operators and processes that data only in accordance with the operator's instructions and the purposes described in this policy.

Cookies

NXRENT uses minimal session cookies strictly for authentication purposes — to keep you signed in across page loads. We do not use advertising cookies, third-party tracking pixels, or cross-site tracking of any kind. No cookie data is shared with advertising networks or data brokers.

Your Rights

You have the right to access, correct, or delete your account data at any time. You may update your account information directly from your account settings. To request a full data export or account deletion, contact us at support@nxrent.com. We will respond to all data requests within 30 days.
